Final Thesis Submission

Completing corrections, preparing hardbound and electronic copies, depositing in the University repository, and appeals.

13Corrections and Final Submission

Making corrections

  • The Chair gives the candidate a consolidated list of required corrections within five working days of the defence.
  • The candidate prepares a Correction Table listing each required correction, the change made and its page number.
  • The internal examiner (or the examiner designated by the panel) verifies the corrections and signs the Corrections Clearance form (SGS/TH‑11).
  • If corrections are not completed in the time allowed, the candidate must apply for an extension; failure to do so may result in the thesis being treated as failed.

Deposit in the University repository

All approved theses are deposited in the University of Hargeisa institutional repository and made openly available, so that Somaliland research is visible and citable. The author keeps copyright and grants the University a non-exclusive licence to preserve and make the thesis available.

  • An embargo of up to two years may be requested where there is a legitimate reason — for example, a pending publication, commercially sensitive data, or the safety of participants. The request is endorsed by the supervisor and approved by the Director of SGS.
  • During an embargo the title, author and abstract remain publicly visible; the full text is withheld.
  • Theses containing confidential third-party data must have that data removed or anonymised before deposit.

Graduation eligibility

A candidate is eligible to graduate when the final submission is complete, the result has been approved by Senate and all clearances (library, finance) are in place. To graduate in a given ceremony, the final submission must reach SGS by the deadline published in the academic calendar.

15Appeals and Complaints

A candidate may appeal against an examination decision on the following grounds only:

  • a material irregularity in the conduct of the examination or defence;
  • evidence of bias or a conflict of interest of an examiner that was not known at the time;
  • circumstances affecting performance that, for good reason, could not be disclosed before the examination.

Appeals cannot challenge the academic judgement of examiners. An appeal is made in writing on the Appeal form (SGS/TH‑14) to the Director of SGS within 30 days of the written decision. If the matter is not resolved, it is referred to the relevant academic committee, whose decision may be reviewed by Senate. Concerns about supervision should first be raised with the Director of SGS.
